01 RESEARCH ADMINISTRATOR
Description of vacant position: The Administrative Support Specialist will provide support to the Research and Consulting Business Development and Project Execution teams. This will include processing payments to service providers, maintaining accurate records of legal and financial documents, and other administrative tasks.
DUTIES: • Assist with all administrative tasks associated with research and consulting projects, including purchase orders and payment requests. • Maintain an electronic filing system for project documentation. • Collect all necessary information to load new suppliers, contractors, etc. • Support Business Development Managers with proposal and tender submission processes, such as completion of vendor documents and collecting supporting documentation. • Support the team’s marketing activities, such as distributing materials, organizing RSVPs, and obtaining quotations. • Organize travel and accommodation for project resources. • Plan events such as venue hire and catering.
Minimum requirements
• Grade 12 or equivalent.
• A tertiary qualification (NQF level 6 or higher) in administration or equivalent.
• Three (3) years’ work experience, including one (1 year) in administration, as well as other experience relevant to the role.
• Proven attention to detail, and ability to multi-task in a dynamic environment.
• Strong oral and written communication skills.
• Proactive attitude towards team work.
• Excellent knowledge of MS Office especially MS Word and MS Excel.
Qualifications and experience
5 years work experience of which at least 3 years is in administration.
Experience in financial administration, preferably using an enterprise resource planning system e.g. Oracle/similar.
02 EXECUTIVE PA & HR OFFICER
Description of vacant position: We are seeking an experienced and detail-oriented Executive Assistant to provide support to three Senior Executives and perform HR administrative duties for our company. In this role, you will be responsible for managing schedules, handling correspondence, coordinating travel arrangements,
DUTIES: The Personal Assistant will provide support to the CEO, CFO and General Manager Research and Consulting with regards to scheduling, communication and travel. They will also take minutes at Exco meetings and perform general office administration tasks. With regards to HR, the Personal Assistant will help with recruitment, maintaining employee files, policy implementation and salary benchmarking processes. They will also assist with employment equity and workplace safety initiatives.
